About CLASP 

Consolidating Logistics for Assistive Technology Supply and Provision – Phase II (CLASP II) is a USAID-funded project implemented by UCP Wheels for Humanity (UCP Wheels) that increases access to a variety of high-quality, affordable assistive products, and promotes appropriate provision globally. CLASP provides a solution to supply-side challenges faced by wheelchair service providers in less-resourced settings including limited product variety, extensive lead time, and logistical burdens.

Job Description

UCPW is seeking a part-time Consultant to provide support to the CLASP Sales team and CLASP customers during the ordering and importation process of products around the world. The Consultant will work with CLASP headquarters finance and operations staff as well as all global sales staff to coordinate with customers to ensure a smooth and rapid order process and the timely delivery of all product orders to the specified destination.

The Consultant’s primary objectives are to (i) liaise with customers, sales, finance and operations to create a smooth, streamlined CLASP order process; (ii) support the importation process of products for each order; and (iii) update order tracking and inform project partners of progress as needed.

Detailed Responsibilities

Reporting to the UCPW Director of Finance and Operations, the Consultant shall assume the following specific responsibilities for the length of the consultancy:

Task 1: Liaise with customers, sales, finance and operations to create a smooth, streamlined CLASP order process

  • In coordination with the CLASP Sales team members, support customers in the completion of individual product orders, which includes providing the CLASP Operations team with all necessary required information for each forwarder, broker, and consignee.
  • Work with the CLASP Finance team to ensure that all quotes, pro-forma invoices, pick lists, packing lists, commercial invoices, and all other necessary documents are generated timely and accurately from the ERP system for each order.
  • Communicate with all customers on a frequent basis with the status of their order until their carrier has departed.

Task 2: Support the importation process of products for each order

  • In conjunction with the CLASP Operations team members, ensure that each customer knows the status of their order on a no less than weekly basis, preferably with a screenshot of where on the water, air or rail their order is currently located.
  • Liaise between the customer and all logistics partners to resolve any and all issues that may arise during shipment up to and including proof of delivery in good condition.
  • Follow up and resolve any and all issues reported through the various customer and provider surveys.

Task 3: Update order tracking and inform project partners of progress as needed

  • Ensure that the Trello Order board is continuously updated and relevant documents are filed correctly in Box for each order.
  • Provide order progress and updates to all CLASP Production staff at the weekly Production meeting.
  • Communicate project status to Director of Finance and Operations via email, skype or zoom on a weekly basis.

Timeline and Deliverables

All tasks and sub-tasks are ongoing with no set end dates.  The time involved in completing tasks on a daily and weekly basis will vary depending on the volume of orders pending and in process.
